A Media Release Form is a document that grants some business, government organization, or a private individual to use photos, videos, and voice recordings of the signatory in public and social media. If your church holds a public event, you may use photos and videos from the event that do not specifically identify people by name. Since church services are public events, the attendees likely have no expectation of privacy. However, if you intend to identify persons by name in the photos, it is best practice to have the individuals sign a photo use or waiver agreement that permits you to identify them and use their photos in your advertising, social media posts, and other church-produced materials. Generally, it is good policy to post signs or remind your audience or event participants that the service or event is subject to recording.

Keep that church is first and foremost a sacred and safe space to worship and find peace. Spaces where photo and filming are not permitted/avoided should be designated for those needing it.

When do I need a release form?

If your photographs include children and you intend to use the images for commercial purposes, including advertising, you should use a model release form. The child’s parent or guardian will sign on behalf of the child. Likewise, guardians will need to sign on behalf of vulnerable persons.

When in doubt, have your talent/subject sign a form. And if you are having an event when photos will be taken, include a notice on your registration form. Be sure to include an opt-out box so those wishing to may maintain their privacy.
